Use case · Online business school · 30,000+ students

Every master's launch, called lead by lead.

An online business school sells its master's programs through launches. Each one fills the CRM with call requests in a few days, and the sales team can't call them all in time. This is what we built.

The problem

No sales team calls everyone in time.

Each request was a person who asked to be called. With up to three launches running in parallel, the team called the newest first and the rest went cold in the queue. Hiring advisors for every peak made no sense: the rest of the month, capacity sat idle.

What we built

From the form to a salesperson, with nobody waiting.

The agent runs on what the school already used: Typeform for its forms and Zoho as its CRM.

  1. 01

    The request comes in.

The lead fills in the program's Typeform. A workflow saves their details in Zoho and queues the call with everything the lead left.

  2. 02

    The time is checked.

Before each call, the workflow checks that it is a suitable hour in the lead's country. Nobody gets a call outside their local hours, and there are never more simultaneous calls than the cap the school set.

  3. 03

    That program's agent calls.

It introduces itself as an AI assistant and talks about the program the lead chose. It only reads that program's documents, and uses the general knowledge base to compare with other programs. A second agent listens in parallel and feeds it context during the call.

  4. 04

It hands off to a salesperson.

If a salesperson is online, it transfers the call live. If not, it books a call with a salesperson from the CRM and emails the lead. If no time is agreed, the interest is logged in the CRM.

  5. 05

    Everything is written down.

When the call ends, a third workflow saves the summary of the conversation and updates the lead in Zoho. People who didn't pick up are retried under the school's rules.

Why they chose us

We won a competitive demo against a voice platform.

Every layer swappable.

Speech-to-text, the language model and the voice are chosen and changed separately, without rebuilding the agent. The school isn't tied to anyone's voice stack.

One team.

The same team designs, implements and runs the agent, with no third-party partner in between.

Everything auditable.

Every call is kept as a run with its trace: what the agent looked up, what it answered and what it wrote to the CRM.

The plan

Six weeks, five deliveries.

From October 20 to November 30, 2026. Each delivery can be tested on its own.

01.

Platform ready.

Voice agents join the catalog, with a knowledge base and memory.

02.

The agent has context.

It reads its program's documents and the others', and saves what was said.

03.

Tools connected.

It reads and writes the lead's data in the CRM and the knowledge base.

04.

First call.

A test lead fills in the Typeform, lands in Zoho and their phone rings.

05.

Volume and hours.

Hundreds of leads, never more than N calls at once, nobody outside their hours, retries by the rules.
